Getting a Maps search into Excel in four steps
Maps shows a search on screen only, so the first step is to turn it into a list the extension can save.
Step 1: Collect the search
Ask in chat, such as "Find 100 restaurants in Austin, TX", or search Maps and click Collect list on the side panel's Maps tab. If the extension isn't installed yet, the first-run guide walks you through it.
Step 2: Open the list on the results page
After a side-panel run it opens by itself. Otherwise, open History in the side panel and click View results next to the list.
Step 3: Keep the columns you need
Ask chat for "only name, phone, email and website", or hide columns by hand. The file has exactly what the page shows, filters and hidden columns included.
Step 4: Click Export as
Choose Microsoft Excel, CSV or JSON. Chrome saves the file the way it saves any other download.
Sorting, filtering and editing on the results page before you download are covered on the lists and downloads page.
What's in the file
Each business is one row, and the columns come in the same order every time. First come the columns from Maps: Business Name, Category, Rating, Review Count, Address, Operating Hours, Phone, Website and Map URL.
Then, where the websites gave them, come Emails, Website phones, Faxes and a column for each social network a website links to. Where the emails come from explains how those are found.
- The Excel file has one sheet, named Data, with the header row frozen, filter buttons on it, and each column sized to its contents.
- The file is named after the list, followed by the date. A side-panel list is named after its search, such as Maps Records - restaurants in Austin, TX; rename it in History to change the file's name.
| Business Name | Rating | Review Count | Phone | Website | Emails |
|---|---|---|---|---|---|
| Juniper Street Kitchen | 4.7 | 386 | (512) 555-0136 | juniperstreet.example | [email protected] |
| Café Lumière | 4.6 | 212 | (512) 555-0182 | cafelumiere.example | [email protected] | [email protected] |
| Red Mesa Taquería | 4.4 | 97 | (512) 555-0158 | empty | empty |
Which format to download for which app
Every format holds the same rows and columns, so pick the one the next app reads best.
| You're opening it in | Download | What to know |
|---|---|---|
| Excel | Microsoft Excel | Opens as a table with filter buttons, and ratings and review counts are numbers you can sort |
| Numbers, LibreOffice or another spreadsheet app | Microsoft Excel or CSV | The Excel file keeps its header and filters; the CSV is plain text, so it has neither |
| Sheets | Sheets | Makes a new sheet in the account Chrome is signed in with and opens it; to add to a sheet you already have, import the CSV |
| A CRM or email tool | CSV | The usual format for an import; check what your tool accepts |
| Your own code | JSON | An array of objects, one per business, keyed by column name |
Numbers, phone numbers and accents
Ratings and review counts are saved as numbers, so a spreadsheet can sort them and add them up. That's the setting Save prices, ratings and counts as numbers, in Settings → Results, which starts on.
Phone numbers are never turned into numbers: they stay as written, and the Excel file stores them as text. A CSV has no types, so the app that opens it decides how to read each phone, and the phone numbers guide covers keeping leading zeros and plus signs.
The CSV is saved as UTF-8, the encoding that holds accented letters such as the é in Café Lumière. It also starts with a byte-order mark, the marker that tells a spreadsheet app the file is UTF-8.
- A cell with several emails or phones keeps them all, separated by a bar: [email protected] | [email protected].
- Line breaks inside a cell become spaces in the CSV, so every business stays on one line.
- In the CSV, text that starts with = or @ gets an apostrophe in front, so it opens as text and never runs as a formula. In the Excel file, every text cell is stored as text.
Combining several searches into one list
Chat can put several Maps searches into one list and keep each business once. Run the searches in the same chat conversation:
Step 1: Ask for the first search
Type something like "Find 100 plumbers in Denver, CO" and let it finish.
Step 2: Ask for the next ones in the same conversation
Type "Now HVAC contractors in Denver, CO", and so on. From the second search on, chat ends each one with a card such as Combine the 2 searches into one table.
Step 3: Click the card after the last search
A new list opens with every business once, and chat says how many rows were in more than one search. Its first column says which search each business came from: Search when, as here, every search named the same place, or Location when each named a different one.
The card combines the last 10 searches of the conversation, and a business counts as a repeat when its name and address match. The searches themselves stay in History as they were.
Lists collected from the side panel or with Bulk don't get a combine card. Bulk saves a run of many searches as one list, but it removes only rows that match in every column. A business found by two searches has a different Map URL in each, so it can be listed twice.
Clean those lists in Excel, as below, or hide repeats on the results page by asking chat to "remove repeats by Phone". It keeps the first row with each phone number and leaves rows that have none. Combining lead lists and removing duplicates compares every way of doing this, and to cover a whole city rather than a few searches, see how to list every business in a city.
Combining lists and removing duplicates in Excel
Files you already have can be joined and cleaned in Excel. Download each list as a CSV with the same columns, and put the files in a folder of their own.
Step 1: Combine the files
In Excel for Microsoft 365, choose Data → Get Data → From File → From Folder, pick the folder, then Combine → Combine & Load. Excel matches the files' columns by name, as Microsoft's guide to importing a folder explains.
- With two or three files, you can instead paste each one's rows under a single header row.
Step 2: Keep a copy
Remove Duplicates deletes rows for good, so copy the combined table to another sheet first, as Microsoft's guide to removing duplicates advises.
Step 3: Choose Data → Remove Duplicates
Select the table first. A box lists the table's columns, each with a tick box.
Step 4: Tick only Business Name and Address
Untick every other column, then click OK. Excel then tells you how many duplicate and unique values it found.
Watch out: Don't leave every column ticked. Each search gives the same business a different Map URL, so with all columns compared, rows for the same business don't match and stay in.
Business Name and Address together keep a chain's branches apart, since each has its own address. To review repeats before deleting them, highlight one column's duplicates with Home → Conditional Formatting → Highlight Cells Rules → Duplicate Values.
Importing the list into a CRM or email tool
Most of an import is matching columns, and that's easier to do before you download. On the results page, ask chat to keep and rename the columns your tool expects, such as "only Business Name, Phone, Emails and Website", then "rename Business Name to Company".
- One email per contact: if your tool takes a single address, split the Emails column at the bar. In Excel, use Data → Text to Columns, choose Delimited and set | as the delimiter, as in Microsoft's guide to splitting text. Keep the first column, or give each address its own row.
- Phones: map Phone, the listing's number, to the main phone field. Website phones can hold several numbers and can include the listing's own.
- Rows without an email: decide before you import whether they go in as phone-only contacts. To leave them out, ask chat for "only rows where Emails is filled" before you download.
- Keep Map URL if you'd like a link back to each business on Maps.
The import itself, step by step for HubSpot and Pipedrive and with the four things any CRM needs, is in importing Maps leads into a CRM. Handing the file to a client instead? Lead lists for clients covers shaping it to their columns, and getting emails from Maps covers checking the addresses before anyone writes to them.
Questions people ask
Can I export a Maps list to Excel?
Not from Maps itself, which has no export for a search's results. Collect the search with Maps Scraper Pro, then click Export as on its results page and choose Microsoft Excel.
How do I export Maps results as CSV?
Open the list on the results page or in History, click Export as and choose CSV. The file is UTF-8, with one business per line and every field in quotes.
Can I export my saved places from Maps?
Not with this extension, which collects searches rather than the lists you've saved. Your saved places are part of your Maps account's own data, which your account's data download covers.
How can I remove duplicate emails from my list?
On the results page, ask chat to "remove repeats by Emails": it keeps the first row with each address. In Excel, use Data → Remove Duplicates with only the Emails column ticked.
Is there a way to combine multiple CSV files into one?
Yes. In Excel for Microsoft 365, Data → Get Data → From File → From Folder combines every file in a folder whose columns match. For searches you haven't run yet, chat's combine card does it and removes repeats too.
