What to do with your first export
Open the file before you import it. Five minutes with the first export tells you what the CRM is about to receive, and most import problems are visible in the first 20 rows.
- Check 10 rows against Maps. Open each row's Map URL and compare the name, phone and website; it takes a minute and catches a search that drifted.
- Count the empty Emails cells. They're businesses whose websites publish no address, and you decide below whether they go in as phone-only companies.
- Look for repeats. A combined chat table keeps each business once; a Bulk list or several files can hold a business twice.
- Decide companies or people. Every row is a business, with a business phone and a published email, so it belongs on a company or organization record.
- Keep Map URL if you want a link back to each business on Maps. Most CRMs take it as a custom field or a note.
If the file came from several searches or several runs, combining lead lists covers joining them and removing the repeats first.
Shape the file before you download
Most of an import is matching columns to fields, and that's easier before you download, on the results page. Tell chat what the CRM expects, and the file has exactly what the page shows.
Step 1: Keep only the columns the CRM has fields for
Type "only Business Name, Phone, Emails, Website, Address and Category". Rating, Review Count and Operating Hours have no default field in most CRMs; keep them only if you've made custom fields.
Step 2: Rename the columns to the CRM's names
Type "rename Business Name to Company" or "rename Emails to Email". A column that already matches a field's name maps itself in most import tools.
Step 3: Decide about rows without an email
To import only businesses you can email, type "only rows where Emails is filled". To keep phone-only businesses as companies too, leave them in.
Step 4: Remove repeats
Type "remove repeats by Phone" or "remove repeats by Website". Chat keeps the first row with each value and hides the rest.
Step 5: Download as CSV
Click Export as and choose CSV. Import that file straight into the CRM, without opening and saving it in a spreadsheet on the way, so the phone numbers stay as written.
| Company | Phone | Website | Address | |
|---|---|---|---|---|
| Lone Star Dental Care | (214) 555-0142 | [email protected] | lonestar.example | 1200 Sample St, Dallas, TX 75201 |
| Bright Arbor Smiles | (214) 555-0119 | [email protected] | arbor.example | 88 Example Ave, Dallas, TX 75204 |
| Prairie Light Dental | (214) 555-0187 | empty | prairie.example | 410 Sample Rd, Dallas, TX 75206 |
A cell can hold several emails or phones, separated by a bar: [email protected] | [email protected]. Most CRMs want one value per cell, so the sections below say what to do with the bar in each.
What the CSV looks like to a CRM
The file is built to import cleanly. These are the details that matter when an import tool reads it.
- One row per business, with a header row of column names, saved as UTF-8 with a byte-order mark so accented names survive.
- Every cell is quoted, and a line break inside a cell becomes a space, so a multi-line address stays on one row.
- Phone numbers are text, as the listing or website wrote them, with any leading zero or + kept. Nothing is reformatted.
- Ratings and review counts are numbers. Everything else is text, and text that starts with = or @ gets an apostrophe so it can't run as a formula.
- Several values in one cell are joined with a bar and spaces: " | ".
Exporting a Maps search to Excel or CSV covers the file in more depth, including what each spreadsheet app does with it.
HubSpot: import the list as companies
HubSpot imports a .csv, .xlsx or .xls file with one sheet and a header row, and on its free tools a file can be up to 20 MB, by its import file page. A company needs a Name or a Company domain name, so Business Name and Website cover the requirement.
Step 1: Start the import from Companies
Open Companies and click Import, then Import data, and upload the CSV. Choose Create and update companies, so a business already in HubSpot is updated rather than added twice.
Step 2: Map each column to a property
On the mapping screen, pick the property for each column from the HubSpot Property dropdown: Business Name to Company name, Website to Website URL, Phone to Phone number, Address to Street address, Category to Industry if its options fit, Map URL to a custom property or Don't import column.
- Filling Website URL also fills Company domain name, which is the key HubSpot matches existing companies on.
Step 3: Check the key before you continue
HubSpot shows a key icon next to the property it will match duplicates on. For companies that's Company domain name, so two branches of a chain that share one website merge into one company unless you map a custom unique-value property instead.
Step 4: Add the emails as contacts, if you want them
Contacts need an Email, so make a second file from the rows where Emails is filled, one address per row, and import it to Contacts. HubSpot's import page covers importing companies and contacts together and associating them.
Two of HubSpot's format rules matter for a Maps list. Several emails for one contact go in one cell separated by semicolons, so replace the bar in a spreadsheet first; and a phone number property expects +, the country code and the number, such as +12145550142, which the phone numbers guide shows how to produce.
HubSpot's address lives in four properties, Street address, City, State/Region and Postal code. The Address column is one text field as the listing shows it, so either map it to Street address as it is or split it on commas in a spreadsheet first.
Pipedrive: import the list as organizations
Pipedrive imports an XLS, XLSX or CSV file with one tab and a header row, up to 200,000 rows and 50 MB, by its import page. An organization needs only a name, so every row of a Maps list qualifies.
Step 1: Open the import
From the account menu, choose Tools and apps, then Import data, then Import from spreadsheet, and click Get started. Choose organizations as the data in your file and upload the CSV.
Step 2: Map the fields
On Map fields, Pipedrive matches columns to fields by name and lets you drag any it didn't match. Business Name goes to the organization's name, Address to its address and Website to its website.
Step 3: Decide where the phone and email go
By Pipedrive's import fields page, phone and email are person fields, while an organization has a name, address and website. Either add custom organization fields for the phone and email before you import, or import a person per business, named for the business, with the organization as its company.
Step 4: Handle duplicates on the Finish step
Pipedrive detects duplicates and offers to merge them instead of creating new records. Then check the import history, which shows how many were added, updated, merged or skipped, with a skip file for the rows it couldn't take.
- A global admin can revert an import from the import history within 48 hours, so a wrong mapping isn't final.
Any other CRM: the four things every import needs
Import tools differ in their menus, but they all want the same file. Give yours these four things and the rest is mapping.
- One kind of record per file: companies in one file, people in another. A Maps list is companies; the emails on it belong to the business, not to a named person.
- A header row whose names match the CRM's field names where you can, so the tool maps them itself.
- One value per cell. Split a cell of several emails, or keep the first one, before you import.
- A key the tool can match duplicates on: the website domain, the phone, or the name and address together. Importing the same list twice without one creates every business twice.
Save the CSV as UTF-8, which the extension's file already is, and run a test import of 20 rows before the full file. A spreadsheet app that opens the CSV on the way can change phone numbers; the Excel guide explains which ones and how to avoid it.
Problems and fixes
| What you see | Why | What to do |
|---|---|---|
| Every business is in the CRM twice | The import had no key to match on, or ran twice | Delete the second batch, then import with Create and update and a domain or phone mapped as the key |
| Two branches of a chain became one company | They share one website, and the CRM matched on the domain | Map a custom unique field as the key, or import branches with the address in the name |
| An email field took only the first address, or rejected the cell | The cell holds several addresses separated by a bar | Replace the bar with the CRM's separator, such as a semicolon in HubSpot, or split the column in a spreadsheet |
| Phone numbers lost a zero or turned into a formula-like number | A spreadsheet app opened the CSV and changed the cells before the import | Import the downloaded CSV directly, or import it into the spreadsheet with phone columns set to text |
| Accented names came in garbled | The import tool read the file as the wrong encoding | Choose UTF-8 in the import tool; the file carries a byte-order mark that most tools read on their own |
| The whole address landed in one field | The Address column is one text field as the listing shows it | Map it to the street field as it is, or split it on commas in a spreadsheet first |
| Rows were skipped | A required field was empty, such as a name | Open the skip file or error list, fill or remove those rows, and import them again |
There's no sync, and when that matters
Maps Scraper Pro has no API, webhook or connector, so nothing flows into a CRM on its own. Each list is a file you download and import, and a refresh is a new run of the same searches, saved as a new list in History.
For most teams that's a monthly habit: run the searches, import with the CRM set to update existing records, and the new businesses are the ones created. For a feed that updates a CRM every week without you, the source has to be a Maps data service with an API, which the guide to Maps leads with AI sets out.
Before anyone in the CRM emails the imported businesses, read the rules on contacting businesses. An import doesn't change what's allowed.
Questions people ask
How do I import a CSV of leads into HubSpot?
Open Companies, click Import, then Import data, upload the file and map each column to a property. Business Name becomes Company name and Website becomes Website URL, which also sets the domain HubSpot matches duplicates on.
Can I import Maps results into Pipedrive?
Yes, as organizations: Tools and apps, Import data, Import from spreadsheet, then map Business Name, Address and Website. Phone and email are person fields in Pipedrive, so add custom organization fields or import a person per business.
Should I import the businesses as contacts or companies?
Companies. Every row is a business with a business phone and a published email, not a named person. Add contacts only for the rows with an email, if your CRM needs a person to email.
How do I avoid duplicates when importing leads?
Remove repeats before you download, then map a key the CRM can match on: the website domain in HubSpot, or merge on the Finish step in Pipedrive. Import with the option that updates existing records.
Does Maps Scraper Pro sync with my CRM?
No. It has no API or connector; you download a file and import it. Run the same searches again for a refresh, and import with the update option so only new businesses are created.
